Privacy Policy

This page explains, in plain words, what information Vivtorexwhral collects, why we collect it, how long we keep it, and the choices you have at every step. We aim for the shortest possible footprint — if a piece of data is not needed, we do not ask for it.

1. Who we are

Vivtorexwhral is a small independent studio based at 2623 56 St NE, Calgary, AB T1Y 5J1, Canada. We design and sell printable and digital well-being checklists. For the purposes of Canadian privacy legislation, we act as the data controller for the personal information described below.

2. The information we collect

We collect only what we need in order to reply to messages, deliver downloads and keep the website working. In practice this means three small categories of information.

2.1 Information you provide directly

  • Your name, when you write to us through the contact form.
  • Your email address, so we can send a reply or deliver a checklist file.
  • The text of the message you send us.

2.2 Information collected automatically

  • Basic technical information such as the page you visited, the date and time of the visit, your approximate region, and the type of browser you used. This information is aggregated and never linked to your name.

2.3 Information from third parties

We do not buy lists of contacts, we do not import data from social platforms, and we do not run advertising trackers across other websites.

3. Why we use your information

We use the small amount of data we collect for the following purposes only:

  • To answer your messages and deliver any files you request.
  • To keep records of orders and payments for accounting purposes.
  • To improve our pages by reviewing aggregate, anonymised visit statistics.
  • To meet our legal obligations under Canadian law.

4. Lawful basis for processing

Where you contact us through the form, the lawful basis for processing your data is your explicit consent, given by ticking the consent checkbox before sending the message. Where we keep records of orders, the lawful basis is the performance of a contract and the fulfilment of legal obligations.

5. How long we keep information

Contact form messages are kept for up to twenty-four months and then deleted. Order records are retained for as long as required by Canadian tax and accounting rules, after which they are securely destroyed. Aggregated analytics data is retained for up to twenty-six months.

6. Sharing your information

We do not sell, rent or trade your personal information. We share data only with carefully chosen service providers who help us run the studio — for example our email host and our payment processor — and only to the extent strictly necessary. Each of these providers is bound by a written agreement and applies industry-standard safeguards.

7. International transfers

Some of our service providers store data outside Canada. Where this is the case, we ensure that an equivalent level of protection applies, using contractual safeguards approved by Canadian and European authorities.

8. Your rights

You can ask us at any time to:

  • Confirm whether we hold any personal data about you.
  • Send you a copy of the data we hold.
  • Correct any information that is inaccurate or incomplete.
  • Delete your data, where there is no legal reason to keep it.
  • Withdraw your consent at any time, without affecting earlier processing.
  • Lodge a complaint with the Office of the Privacy Commissioner of Canada if you feel a request was not handled fairly.

9. Security measures

We protect your data with reasonable physical, technical and organisational measures: encrypted transport (HTTPS), restricted internal access, password rotation and regular backups stored in secure data centres. No system is perfect, but we treat your information with the same care we would expect for our own.

10. Children

Our products are designed for adults. We do not knowingly collect data from children under the age of fourteen. If you believe a child has shared information with us, please contact the studio so we can remove it promptly.

11. Updates to this policy

We may update this policy from time to time, for example to reflect changes in technology or the law. The current version always carries the date shown at the top of the page. Material changes will be highlighted on the home page for at least thirty days.
